Repairing your deliverability is something we are a cut above the rest at executing. We are accustomed to inheriting problems and finding the solutions in our audits then putting tailored plans into effect to tip the scales back into your favour. With deliverability these plans can vary from instant fixes to longer-term reputational repair, however, were able to offer the right advice and realistic time scales to see the desired results. A typical reparation will follow the phases below which we find give great and proven results.

Phase 1 – Email Classification Split

We can help you to classify your outgoing mail and implement suitable technologies, new domains, and IPs to send these emails through. This allows the following phases to start and identify and monitor problem areas that need attention as an ongoing set of processes for your company to follow.

Phase 2 – Sending Technology Alignment and (re-)warmup

Once we have identified and classified your processes we can implement and align technologies to the sending which we are then able to warm up on your behalf. We are accustomed to these warmup exercises and have bibles of what throughput is allowable per time period on each provider allowing us to utilise the shortest time possible to achieve the maximum result. If you have a legacy system that has been performing badly we can take our carefully crafted prose and rewarm this environment for you to maximise its utility when required. Over the years we have inherited some very nasty situations however to date we have not had a single instance where we are not able to utilise our skills and knowledge to repair or fresh start the deliverability of your campaigns to the inbox.

Phase 3 – Domain Repairs

We are able to look at the specific domains being sent from and ensure that these are correctly aligned to the sending technologies and other likely mail sources for them. This allows us to maximise your deliverability by ensuring that all necessary DNS records are in place and that these are implemented stringently as a must-have for the recipient. By taking away mediocre measures like “nice to have” or “report only” flags and switching on the extremes of DMarc reporting and “must-have” records we are able to ensure that every receiving server knows you take these things seriously which increases the chances of deliverability exponentially.

As part of the reparation were able to repair the technical and reputational factors of domain names that cause issues, the present list we have is around 50 points of repair.

Phase 4 – List Repairs

NOTE : (limited to 10k in a single one day audit however larger lists can be accommodated and priced at an extremely low rate)

We are able to look at your mailing list and your existing log files from the sending applications to clean out your mail list. Were able to remove some spam traps and were able to remove everything non-deliverable. This removed the ability of the email recipient servers to detect you mailing poor quality lists and qualify you as a spammer.

1 - Deduplication

Deduplicate ensuring that there are no duplicate emails.

2 - Syntax Validation

Check for invalid emails – We check for emails that are not syntax valid containing ampersands, etc.

3 - Domain Viability Check

We check that the domain names your emailing still exist and have email functions

4 - Technology Assessment

We check the technology in use on the domain you’re emailing (Office365, Gmail, etc)

5 - Anti-Spam Technology Review

We check the anti-spam technology in use (Mimecast, Cisco, etc)

6 - Mailbox Existence Verification

We check if the users mailbox still exists and is valid (Without sending it to the user)

7 - Catchall Configuration Check

We check if the domain is configured as a catchall which increases the risk of sending to it.

8 - Spam Trap and High-Risk Recipient Identification

We check if the recipient is a spam trap known to us or high risk to send to e.g a company that has the policy to report spam.

9 - Shared Mailbox Recognition

We identify if the user part of the email is a shared mailbox e.g info, admin, teacher, etc.

10 - Cross-Referencing Database History

We cross-reference our database of over 18m recipients to see if we can provide the first time we ingested this email giving you an idea of how long that email has existed.

11 - Client Interaction and Blacklist Monitoring

We check if any of our clients have successfully emailed this recipient and if this campaign was blacklisted showing a high probability of a spam button being pressed.

Phase 5 – IP and Blacklisting Repair

We have a directory of blacklists and we have the contact information for the maintaining bodies. Where we find you are in any sort of negative weighed list we can contact the owners on your behalf to have you delisted or request a short period of re-evaluation to reset your reputation. Some of the list items we have are so difficult to find and contact that they don’t appear anywhere on Google!

Phase 6 – Working Practice training.

Where we have evaluated what your doing one of our experts will create a training guide for you to assist you first of all to understand where you went wrong and then secondly how to take your deliverability to a higher potential level by implementing new procedures and practices.

Phase 7 – Retest and Repair Report

Once we have completed our repairs, given training, and worked our magic we will document everything we have done for you so that you have this on hand and won’t make the same mistakes again.
